Scheduling and Calendar

A good appointment does not begin with the calendar entry, but with the question of whether the visit is prepared and worthwhile at all. Terminauticus supports both.

A shared calendar for everyone involved

In Terminauticus, back office and field sales see the same calendar. Whoever arranges an appointment can immediately see which field sales employee is available at what time and where they will be on that day anyway. Double bookings and queries by telephone or text message thus become much less frequent.

Each employee sees only what they need for their work. A field sales employee sees their own appointments with all details, the back office sees the free time slots of all colleagues, and management retains the overall view.

Mandatory information before scheduling

A common reason for unproductive field sales appointments is missing basic information. The employee drives to the customer and only discovers on site that essential prerequisites are not met. Terminauticus therefore allows mandatory information to be defined that must be recorded before an appointment is scheduled.

Which information this is depends on your business – for example budget range, technical key data or the reason for the enquiry. If, in justified exceptional cases, an appointment is nevertheless to be created without this information, this is possible, but it is logged with name, date and time and is traceable for the management.

Confirmation, reminder and rescheduling

Agreed appointments can be confirmed to the customer, and changes are maintained in one place. If an appointment is postponed or cancelled, the history is retained in the file. This means that even weeks later it is still possible to trace why a visit did not take place and who initiated the change.

For the back office, this means less searching and fewer queries. For the field sales team, it means that every appointment in the calendar has actually been prepared.

Benefits for customer and company

For the customer, careful scheduling shows above all in the fact that the visit takes place at the agreed time and the employee knows what it is about. The customer does not have to describe their situation a second time and receives advice that builds on the information already provided.

For the company, every wasted appointment avoided means working time gained in field sales. Because appointments are only scheduled with complete information, the proportion of visits that can actually lead to a quotation increases. At the same time, it becomes apparent at which points enquiries regularly arrive incomplete – an indication of where the first contact can be improved.

Frequently asked questions

Can every employee see all appointments?

No. Visibility depends on the role. The back office sees free time slots, field sales their own appointments, management the overall view.

Which mandatory information is specified?

The mandatory information is tailored to your processes. The aim is that all information determining whether a visit is worthwhile is available before an appointment.

What happens if an appointment has to be created without the mandatory information?

This is possible as a deliberate exception. The action is logged with name, date and time and can be viewed by the management.

Is the history of postponed appointments retained?

Yes. Postponements and cancellations are recorded in the file so that the course of events remains traceable at all times.
